Airbnb cleaner didn't show up? The first 15 minutes, step by step

By Danyal Rayan, Lodging Gurus · Last updated October 31, 2026

It's 1:40 pm, the last guests left at 11, check-in is at 4 and the cleaner's phone goes to voicemail. Our team takes this call several times a month across the homes we run. The outcome is decided in the first quarter of an hour: whether a backup is on the way and whether the guest hears from you before they open the app. This is the order we work in, the words we send guests and the two habits that stop it happening again.

Why a no-show costs more than one cleaning fee

Airbnb's ground rules say every listing should be clean and free of health hazards before check-in (Airbnb Help Center, ground rules for hosts). When a guest walks into last night's sheets, the Rebooking and Refund Policy applies: a home that is not reasonably clean and sanitary is a reservation issue. The guest has 72 hours from noticing it to report it. Airbnb can refund part or all of the stay or help them book elsewhere, with the amount taken out of your payout (Rebooking and Refund Policy for homes, effective February 6, 2025). For unwashed linens Airbnb's own guidance points at a partial refund such as the cleaning fee; for a severe problem, a full refund.

Cancelling the reservation yourself is always worse. A host cancellation within 48 hours of check-in carries a fee of 50% of the unstayed nights with a $50 minimum. It blocks the calendar for those dates and counts against the under 1% cancellation rate Superhost status requires (Airbnb Help Center, host cancellation policy and Superhost requirements). So the target is a clean home today, a check-in time the guest agrees to and a message trail that shows you handled it.

The first 15 minutes: our checklist

Start the timer when the cleaner is 20 minutes late with no message. Then:

  • Call the cleaner twice and send one text asking for a yes or no within five minutes.
  • Check the platform for the check-in time and whether the guest has already messaged.
  • Open your backup list and start calling from the top. Two calls in parallel if two of you are on it.
  • Message the guest with a heads-up before they ask (the first message below). Promise a time for your next update, not a time for the fix.
  • If check-in is under three hours away, move it. Airbnb lets you change one reservation's check-in time from Today, then Upcoming, then the reservation, then Check-in (Airbnb Help Center, update a guest's check-in or checkout time).
  • Decide the fallback now: a late check-in with a sweetener, a partial refund or help moving the guest if nothing is found by evening. A decided fallback keeps your messages calm.
  • Write everything down with times. If the guest reports the issue later, the timeline is what Airbnb reads.

Finding a backup cleaner fast

Our call order: the backups the host gave us at setup, then the regular cleaner's own colleagues (most independent cleaners know two or three people who cover for them), then cleaning companies that advertise same-day turnovers, then the host's neighbours and handymen who have done a turnover before. In the United States, Canada, the United Kingdom, Australia and several other countries Airbnb also runs a Co-Host Network where cleaning can be requested as a single service from the listing editor, plus a Host Recommendations Directory of providers other hosts vouch for (Airbnb Help Center, Co-Host Network and Host Recommendations Directory).

On each call, lead with the three things a cleaner needs to say yes: the area, the size of the job (beds, bathrooms, whether laundry is on site) and the time the home must be ready. Ask the same-day price and whether they can send photos of each room when they finish. Agree the price before they leave and pay them directly when the photos arrive. If your property management system lets cleaners accept or reject tasks, as Hospitable's teammate portal does, post the job there too (Hospitable help center, set up a cleaning team).

When someone accepts, text the guest's arrival time to the cleaner and the cleaner's finish time to the guest. If the two overlap, the guest gets the later time and the sweetener.

What to tell the guest

Send the first message before the guest notices anything. Every update has a time in it and a next update promised. Replace the parts in curly brackets.

First warning
Hi {guest name}, this is {your name} from {listing name}. A quick heads-up: our cleaner has been delayed today, so I'm arranging a backup clean right now. Your stay is on. I'll confirm your exact check-in time within the next 30 minutes. If it slips past {check-in time} I'll make it up to you. Thank you for your patience.
Delay update
Update: a cleaner is confirmed and arrives at {time}. The home will be ready by {ready time}. If you're nearby before then, you're welcome to leave your bags in the entryway from {time} and grab a coffee on us; just send me the receipt. I'll message the moment the clean is done.
Fix confirmed
Good news: the clean is finished and I've checked the photos myself. Fresh linens, clean towels and a full restock are in place. Check in whenever you're ready, same instructions as before. Thank you again for bearing with us today.
Closing message
Hope you're settled in. Today didn't start the way I wanted it to for you, so {I've refunded your cleaning fee / I've sent a partial refund for the late start}. If anything else isn't right during your stay, message me any time and I'll sort it quickly. Enjoy {city}.

Late check-in options, partial refunds and when to move guests

A later check-in is the normal outcome and most guests accept it when it comes with a time and a gesture. Airbnb's guest-side default is a 3 pm check-in when a host sets nothing, and a confirmed reservation's time can be changed as long as it doesn't overlap another booking (Airbnb Help Center, check-in and checkout times). Offer a bag drop and a coffee on you in the same message as the new time.

Consider a partial refund when the clean finishes more than two hours after the agreed check-in, when the guest lost plans because of it or when they saw the home unclean. The cleaning fee is the natural amount for a late clean; a night's rate is for a lost evening. Sending it before they ask is cheaper than a refund request and far cheaper than the review.

Move the guest when no cleaner can be found by early evening, when the last guests left the home unsafe or when the guest has a baby or someone unwell and can't wait. Find them a comparable place at your cost for the night and say in writing whether the rest of the stay is still theirs. If you don't, the policy does it for you: Airbnb may rebook a guest who reports the home as not habitable and take the cost from your payout. Vrbo guests have a similar route when a host prevents check-in or the home is unusable, with 24 hours to report a home not as described (Vrbo help and VrboCare terms).

Prevention: the day-before confirmation and the backup list

No-shows are rarely a surprise in hindsight. The habits we run for every home:

  • Confirm every turnover with the cleaner the day before, by text, with the checkout time, the check-in time and the guest count. No reply by the evening means a call; an unconfirmed job is treated as uncovered. This is our own rule rather than a platform one.
  • Keep two backups per market with agreed same-day rates.
  • Give cleaners the job in a tool where they accept or reject it and get reminders, so a silent non-acceptance is visible before the day.
  • Run one written turnover checklist per home so any cleaner follows the same routine, which Airbnb's own hosting advice recommends (Airbnb Resource Center, maintaining quality, January 4, 2024).
  • Ask for photos of each room at the end of every clean. They are your proof if a cleanliness complaint arrives.
  • Leave enough time between bookings for a full turnover, as Airbnb's cleaning guidance recommends. A same-day flip with a four-hour window has no room for a late cleaner (Airbnb Resource Center, ensuring your place is sparkling clean, February 17, 2023).

Common questions

Cleaner no-shows, answered.

Yes. Under the Rebooking and Refund Policy a home that is not reasonably clean and sanitary at check-in is a reservation issue. The guest has 72 hours from noticing it to report it. Airbnb can refund part or all of the stay or help the guest rebook, with the amount taken out of your payout.

No. A host cancellation within 48 hours of check-in carries a fee of 50% of the unstayed nights with a $50 minimum, blocks the calendar for those dates and counts against the under 1% cancellation rate Superhost requires. A late check-in with a sweetener costs a fraction of that.

Nothing forces you to before a guest asks. It is the amount Airbnb's own guidance points at for a minor cleanliness issue, and sending it unasked when the clean ran late usually ends the matter. A lost evening is worth a night's rate.

Call the regular cleaner's own colleagues first, then cleaning companies that advertise same-day turnovers, then Airbnb's Co-Host Network and Host Recommendations Directory where they operate. Lead every call with the area, the size of the job and the time the home must be ready.
