Privacy Policy

Draft for legal review. This document is a structured working draft prepared for counsel review and may change before final publication. For questions in the meantime, contact comms@lodginggurus.com.

What we collect

  • Enquiry data, name, email, phone, country, portfolio details and notes you submit through our forms, and the Airbnb listing link you paste into the free audit.
  • Source data, saved in your browser on your first visit and sent with any form you submit: the utm_source, utm_medium and utm_campaign of the link you arrived on, the page that referred you and the first page you landed on.
  • Analytics and visitor data, collected by the three tools described below. We do not sell personal data.
  • Chat data, what you type in the website chat, and your name and email if you have given them to us.
  • Cookies, see the Cookie Policy for categories and choices.
  • Operational data during engagements, with client authorization: OTA/PMS account access, guest communications and property documentation needed to deliver services.
  • Guest personal information, processed on behalf of clients strictly to handle reservations, communication and incidents.

Analytics and visitor tracking tools

  • Google Analytics 4 (Google LLC) counts page views and the actions taken on the site, such as a button click, a form submission or a booking link opened. It records the pages visited, approximate location from your IP address, device and browser type and the source of the visit. We never send names, email addresses or phone numbers to Google Analytics.
  • Microsoft Clarity (Microsoft Corporation) records how pages are used: clicks, scrolling, mouse movement, taps and the pages visited, as session replays and heatmaps, together with device and browser type and approximate location. Text you type into forms is masked. When you submit the free audit form we tag your Clarity session with your email address and first name so we can find your session when we follow up on your audit.
  • RB2B (RB2B, Inc.) tries to identify the business behind a visit for visitors in the United States by matching the IP address and browser data of a visit against its own data. Where it finds a match it tells us the company and may tell us the visitor's name and business profile, together with the pages viewed. We use this only to follow up with businesses that may need our services.
  • Where you have a choice. If you visit from the EU, the EEA, the UK or Switzerland, none of these three tools loads until you accept them in the cookie banner, and Reject keeps them off. Everywhere else they load by default. Browser settings and blocking extensions stop them anywhere. Ask us at comms@lodginggurus.com to delete what any of them holds about you and we will pass the request on.

How we use it

  • Responding to enquiries, running your free audit and preparing portfolio plans and pricing quotes.
  • Delivering contracted operations services.
  • Scheduling calls via calendar integrations when you choose to book.
  • Understanding which pages and sources bring visitors who go on to enquire, so we can improve the site.
  • Email updates only with separate marketing consent.
  • AI workflow processing: where clients opt in, message drafting and triage may use AI tooling under human review; outputs are logged. Guest data is not used to train third-party models without explicit agreement.

Retention and deletion

  • Enquiry data is retained while relevant to the enquiry and then deleted on a scheduled cycle.
  • Engagement data follows the client agreement and is returned or deleted at offboarding.
  • Data held by Google Analytics, Microsoft Clarity and RB2B follows the retention period set in our account with each tool, and we can ask each of them to delete what they hold about you.
  • You may request access, correction or deletion at any time via comms@lodginggurus.com.

Sharing

  • Service providers strictly necessary to operate (hosting, email, chat, CRM, analytics and the three tracking tools above) under data-processing terms.
  • No sale of personal information. No third-party advertising use.
